Vacation Rental Terms and Conditions

Please read these terms and conditions prior to making your reservation.

KEYS:  If you arrive after normal business hours, please pick up your rental keys in the “Welcome” basket by the front door of our office.  Keys will be in an envelope with your name on it. Please take care of the keys provided to you as a lock-out fee applies for any after-hours emergency calls.  

CHECK IN: Check in is 4 PM.  Check out is 10 AM. Please call the office if you feel you cannot comply with our prescheduled check-in and check-out times. While we will do our utmost to accommodate early arrivals and late check outs, we do need time to clean the rental properties between tenants. Late check out fees may apply.

HOLIDAY RATES: Holiday rates apply to Easter, July 4th, Thanksgiving and Christmas weeks and are subject to a 25% price increase.

RENTAL DOWN PAYMENT:  Weekly reservations require a $500.00 rental deposit. Reservations of one month or more require a $1000.00 deposit. These rental down payments are required to confirm your reservation but are applied toward your final payment. Deposits are non-refundable in the event of a cancellationEach reservation requires a $30.00 non-refundable reservation fee.

SECUTY DEPOSIT PROTECTION: This Rental Unit Damage Protection plan covers unintentional damages to the rental unit interior that occur during your stay, provided they are disclosed to management prior to check out. The policy will have a maximum benefit of $3,000.00. Any damages that exceed $3,000.00 will be charged to the credit card on file. If, during your stay at one of our Rental Properties, an Insured Person causes any damage to real or personal property of the unit as a result of inadvertent acts or omissions, the Insurer will reimburse the Insured for the cost of repair or replacement of such property up to a maximum benefit of $3,000.00. Certain terms and conditions apply. Full details of the Rental Unit Damage Protection coverage are contained in the Certificate of Insurance or Insurance Policy. The Rental Unit Damage Protection can be purchased up to, and including at, check in. By submitting payment for this plan, you authorize and request CSA Travel Protection and Insurance Services to pay directly Island Vacation Properties, LLC any amount payable under the Terms and Conditions of the Rental Unit Damage Protection. Please contact Island Vacation Properties, LLC directly if you do not wish to participate in this plan or assignment.

TRAVEL INSURANCE: Travel Insurance is available by CSA Travel Protection for United States, Canadian and UK residents only. It is automatically calculated and added to your contract on the day of reservation. Travel Insurance offers protection against loss of deposits and rent in case of unforeseen illness, accident, jury duty or adverse weather that stops travel.  Questions concerning CSA Travel Protection can be answered by calling 866-999-4018, or reviewing the certificate of insurance on their website at www.vacationrentalinsurance.com. Waiving (declining) travel insurance is accepted by forwarding your request in writing to Island Vacation Properties within 10 days of receipt of the rental documents. To protect against the loss of your rental payment and deposit, travel insurance is strongly recommended. Some landlords require a higher deposit if travel insurance is declined.

RENTAL PAYMENTS:  Final rental payments are due in full, thirty days prior to occupancy, payable by check to Island Vacation Properties.  Keys will not be dispersed until final payment is made. Credit cards are accepted for deposits only; we do not accept credit cards for your final rental payment.

RESERVATION CHANGES: Should you request a reservation change to shorten or change your rental dates, a $25.00 processing fee will apply.

TAX: Rentals of less than six months are subject to Florida State Sales Tax of 6.5% and Manatee County Resort Tax of 5%.

RENTALS OF LESS THAN A WEEK: Three night rentals are available at certain resorts only and only within sixty days of arrival. These rentals are calculated at a higher daily rate and may be subject to a cleaning charge. No rentals of less than three days can be accepted. No rentals of less than a week can be accepted during our winter season.

OCCUPANCY: Each unit has a maximum capacity, which you were informed of when making your reservation. Overcrowding of units may result in the immediate eviction and loss of deposit and rent. Large gatherings are not permitted on the premises without prior written approval of the rental agent.AMENITIES: Each of our rentals is individually owned and reflects the tastes of the owners. We do our best to accurately describe each unit and its amenities prior to booking, but cannot be held responsible if tenants are dissatisfied with the accommodations. If you have any questions about the unit amenities, please call our office. We will gladly discuss them with you. Our rentals do not provide beach chairs or beach towels. Very few rental units provide grills.

PETS: Units allowing pets require a $150.00 non-refundable pet fee. Any unauthorized pets will result in a penalty equal to your initial deposit and will immediately be charged to your credit card.  Unfortunately, we cannot allow any pets over 25 pounds. Multiple pets are not allowed in any rental unit.ITEMS LEFT IN UNIT: Neither the landlord nor Island Vacation Properties, LLC, will be held responsible for any personal items left in the units.  If you request us to retrieve and mail items left in the unit, you will be responsible for mailing/shipping charges plus $25.00 processing fee. 

INOPERABLE EQUIPMENT: Should any mechanical failures occur during your stay, Island Vacation Properties will do their best to make prompt and thorough repairs. Unfortunately, we cannot offer refunds for inconvenience caused by inoperable equipment.

Driving Directions:  If you require directions to your rental unit, you can obtain them directly from your home to your rental unit on our website at www.islandvacationproperties.com. On each individual unit page, there is a box with a map. Click on the balloon indicating the position of the property and then click on Directions. Enter your home address and our website can map you to both Island Vacation Properties and/or your final vacation destination.

Check in: Check in time is 4:00 PM. For late arrivals (after business hours or on Sundays), keys will be left in an envelope with your name on it in our “Welcome” box located by the front door of Island Vacation Properties. Our housekeeping crews make every effort to ensure that your rental will be ready for occupancy by 4 p.m.; however, on extremely busy check out days, your unit may not be totally ready by then. We ask that you be patient on these unusually busy days to give them time to clean your unit to your satisfaction.

Keys: Please pick up and return unit keys at our office. Note:  If you have an unpaid balance at the time of check-in, we will not disperse unit keys until the balance has been paid in full. Credit cards are NOT accepted for final rental payments.

Check out: Check out time is 10:00 AM. Check-out instructions are provided with your keys.  When departing after business hours, or on Sunday, please drop keys through the mail slot in the front door of Island Vacation Properties.  Please do not leave keys in the unit or give them to anyone other than Island Vacation Properties personnel.

Swimming Pools: Pools are regularly cleaned, treated and maintained at the owner’s expense.  Following inclement weather or high winds, pool service cannot be expected “on demand” for removal of fallen leaves or minor debris. When renting a property with a pool, it is important to remember that your help in maintaining it, to some degree, is expected.  Pools are heated from approximately Thanksgiving to Easter only and are set no higher than 82 degrees. During colder weather, we cannot guarantee that the pool can be maintained to that degree.

Internet Service: Many units now offer various forms of high speed internet service for your convenience. Due to the numerous different providers and age and configuration of your personal computer, we cannot guarantee that you will be able to connect. We will do our best to assist you, but cannot be held responsible and no refunds will be offered if you are unable to take advantage of this service.

Unit supplies: You will need to purchase paper and cleaning products (napkins, paper towels, hand soap, toilet paper, dish/laundry detergent, etc.) as needed. Beach towels, beach chairs and BBQ grills are not normally provided.

Right of first refusal: We cannot offer the right of first refusal on rental properties. If you want to rent your unit again for next year, please let us know as soon as you can after arrival to ensure availability. Please do not wait until departure to inform us of your desire to return. We do have to make the property available to others until a reservation is confirmed and cannot be held responsible if your unit has already been booked and is unavailable to you.

Smoking: All of our units are non-smoking. Please smoke outdoors and responsibly discard all smoking debris. Evidence of smoking in the unit will result in an immediate and non-refundable $500.00 cleaning fee charged against your card.

Agency: Island Vacation Properties, LLC is the authorized agent for the owner/landlord. We reserve the right to make reservation changes due to any unforeseen circumstances.  Units placed on the market for sale may be shown during your stay with prior notice.

Substitution of Accommodation: Where circumstances arise beyond our control (i.e., fire, hurricane, sale of unit, etc.), your confirmed property may be unavailable upon your arrival.  Island Vacation Properties reserves the right to substitute your accommodations.  We cannot guarantee the confirmed rate in these instances.  Although we will do everything possible to create a pleasant vacation experience, neither Island Vacation Properties nor the owner are liable for damages or inconvenience in this rare and unusual situation.

Liability: Tenant agrees to hold Landlord and Island Vacation Properties, LLC harmless from all liabilities and all costs of defense, including attorney’s fees arising out of tenant’s use or possession of the leased property, and all claims, damages and liability incurred to invitees, family or friends of Tenant.

Radon Gas: Radon gas is a naturally occurring radioactive gas that, when accumulated in a building in sufficient quantities may present health risks to persons who are exposed to it over time. Levels that exceed Federal and State guidelines have been found in buildings in Florida. Additional information regarding Radon Gas and Radon testing may be obtained from the Manatee County Health Unit.
